INSTITUTIONAL SUBSCRIPTION MANAGEMENT:
Introduction to Information and Services for Institutional Subscribers
The HighWire Press Library of the Sciences and Medicine offers tools that enable institutional electronic journal administrators to centrally manage subscriptions to HighWire-hosted journals online. With these tools, journal administrators can:
Monitor journal subscription status
View consolidated lists of subscriptions you manage
View lists of subscriptions others at your institution manage
Retrieve customer/subscription numbers for journals [future]
Manage IP address controlled access
Assign groups of IP addresses to subscriptions based on publisher agreements
Modify/update groups of IP addresses efficiently
Compare groups of IP addresses
Create usage statistics reports
Produce summary reports for all titles
Generate custom multi-month summary reports
Download reports in tab-delimited (Excel) format
In offering these tools, HighWire Press does not supplant institution/vendor relationships, but provides a means for bringing together multiple subscription management tasks. Using these tools is entirely optional - if your institution's online journal subscription management functions are currently being met, there is no requirement to change the status quo.
This document is an overview to the new HighWire Press subscription management tools; online documentation provides hands-on guidance for both transition to and on-going use of the subscription management system. The HighWire Press site also has a number of features to help with reference work not addressed here. These are outlined on "About our new Site".
Getting Started
The keystone for consolidating journal management functions is the "HighWire Press Account." Your HighWire Press Account takes the form of an email address, and information from journal subscription records is linked through this email address.
We recommend that you establish a "master" email account - for example, ejournals@yale.edu. Because the password for this account can be shared without jeopardizing an individual's email password, this approach allows multiple staff members to carry out various tasks centrally. In addition, staff changes will not affect continuity of the journal management function.
If your institution cannot accommodate an email account not attached to an individual, a "personal" email account can be used; however in this situation, one individual must provide the HighWire Press Account and its password with other staff members or carry out administrative tasks solely. If the HighWire Press Account is jointly used by various staff members, you can link their email addresses to the one "personal" account, allowing all administrators to view subscription information, provide centralized IP management functions, and share usage statistics.
Before you begin to use the HighWire Press subscription management system, you must complete three one-time tasks. Start with what you know; it's not necessary to transition all your journal subscriptions at once.
To use the journal management system, follow the steps below. Greater detail regarding these steps may be found on "How to Begin".
Organize your subscription information:
Obtain from your records the site administrator user name(s) and password(s) for each journal subscription. If you do not know the user name and password for a journal, you must contact the journal publisher for this information.
If you are using the "master account" approach, update the site administrator contact information using the subscriptions page in each journal. Enter the master email address into the email field in each of your journal subscription records.
Register for your HighWire Press Account using the type of email address you have chosen ("master" or personal.) Then sign in with your newly created HighWire Press Account.
Sign in to subscribed journals with the user name and password you normally use for each journal subscription.
Managing Your Institutional Subscriptions
Once the HighWire Press Account is set up, you can proceed to manage your subscriptions. The institutional subscription management system allows you to view subscription lists for your institution, maintain IP addresses, and generate usage reports. More detail is provided at the links listed below:
